The processing of personal data in the context of subscriptions for, and distribution of, EASO Press Releases is subject to Regulation (EU) 2018/1725 of the European Parliament and of the Council of 23 October 2018 on the protection of natural persons with regard to the processing of personal data by the Union institutions, bodies, offices and agencies and on the free movement of such data, and repealing Regulation (EC) No 45/2001 and Decision No 1247/2002/EC.
Identity of the Controller: The Head of Sector of EASO’s Press Sector, Communication and Stakeholders Unit (CSU).
Description: EASO’s Press Releases are documents distributed electronically (via e-mail) containing news and information aimed at informing subscribers of important developments relating to the activities and products of the Agency. EASO’s Press Releases are primarily targeted at journalists, stakeholders and practitioners, although anyone is able to subscribe. EASO’s Press Releases are published under the responsibility of the Head of EASO’s Press Sector, within the Communication and Stakeholders Unit (CSU), acting as the data protection controller.
Purpose: In order to receive EASO’s Press Releases, users must proactively subscribe through a dedicated form on the EASO website or by sending an email to firstname.lastname@example.org or email@example.com. All personal data is securely stored with a dedicated service provider with servers located in the European Union.
Personal data collected and processed are:
- Email address of subscriber;
- First name, Last name.
The e-mail addresses are needed to ensure the delivery of the service to the subscriber, as EASO’s Press Releases are sent by e-mail. The first name and last name is only processed in case there is a need to contact the subscriber, wherein the name is only used to address the subscriber individually.
Recipients and access: The recipient of the personal data is limited to the EASO staff member responsible for distributing the EASO Press releases via the contracted service provider using e-mail. The Head of the Press Sector, as the data protection controller, may access the personal data if needed in order to ensure the proper distribution of the EASO Press Releases.
Data retention: The personal data is retained until the data subject decides to unsubscribe from receiving the EASO Press Releases. An individual can unsubscribe by either clicking on the unsubscribe link at the bottom of the e-mail containing the EASO Press Releases or by sending an e-mail to firstname.lastname@example.org or email@example.com. All personal data is erased irreversibly once a data subject has unsubscribed.
Right of Access/Rectification: Should a subscriber to the EASO Press Releases require further information regarding the processing of his/her personal data, or should s/he wish to exercise his/her rights to access or correct the data, s/he can contact the data protection supervisor by sending an e-mail to firstname.lastname@example.org or email@example.com.
